Clubs Policy
Providence students are encouraged to establish and run clubs that provide
outlets for any or all of their special interests. All clubs must, however,
be sanctioned by the Student Senate to receive funds, conduct fund-raising,
or advertise events on campus. To establish a club, pick up an application
from the Office of Student Life or from a member of the Student Activities
Committee. The general requirements of the club are that it must have
accountability (faculty/staff advisor), it must build unity (membership
is open to all applicable persons in the college community), and it must
serve the greater community (1 community event per semester).
Clubs Procedure
Steps Needed to Establish a Club
- Write a proposal for the club (see Club Proposal Form). Include a
paragraph explaining the purpose of the group, how this club will promote
unity on campus, and how it will serve the greater community.
- Get a faculty sponsor.
- Get 5 signatures from students in support of this club.
- Submit the Club Proposal Form to the Student Senate.
- Student Senate will decide on approval based on the policy of accountability,
unity, service.
- If approval is granted, the club can proceed with official meetings,
advertisement, and fund-raising.
- If approval is denied, the Student Senate will return the proposal
with a written statement regarding the reasons the club was denied.
- Upon approval, Student Senate will establish a Student Club Account
of approximately $50/semester; however, the funds for the club will not
be available until approval of the club’s constitution by the Student
Senate.
- The first task of the approved club is to write a constitution and
submit it to the Student Senate for approval (see Club Constitution Form).
- Following the approval of the club’s constitution, the club
can then hold official meetings, elect officers, conduct fundraising (or
collect dues), and promote events.
- Student Senate will informally review all of the clubs on campus first
semester. A formal evaluation will occur in the spring semester with the
officers of the group making a presentation to the Student Senate regarding
the benefits of the club. After the formal evaluation, the Student Senate
will recommend continuing the club without condition, continuing the club
with conditions, or discontinuing the club.
